Ranch Policies

Property Rental

  • A $1,500 non-refundable retainer is due upon execution of a contract agreement. The balance is due 90 days prior to your event.

  • The property is available to you on your date from 10:00 AM to 10:00 PM.

  • 200 guest maximum.

  • Once the event ends, cleanup will begin immediately after the bride and groom depart.

  • Music must be turned off at 10:00 PM.

  • A 1-hour rehearsal may be scheduled prior to your event and is based on venue availability.

  • You are welcome to schedule one complimentary site visit to the ranch for viewing and planning prior to your event (this visit will take place after you are fully booked and does not include the initial site tour which is complimentary as well).

Catering

  • You are free to choose a licensed caterer of your choice or use one of our preferred vendors.

Alcohol Policy

  • Quail Run Ranch provides a licensed bartender for a fee of $300. We will serve wine, beer, and champagne. This is a REQUIREMENT if you choose to have alcohol at your event. The bar will be open for a period not to exceed 5 hours, but will close by 9:30 PM.

  • You are required to purchase a Washington State Banquet Permit.

Event Set Up

  • We are pleased to set up the benches at the ceremony area and the chairs and tables at the reception area. We do NOT provide linens, and you will need to find a rental company for these items if you desire them (although our farm tables typically do not need them). All of the property belonging to you, your guests, invitees, agents, and sub-contractors will be your responsibility and must be moved off the premises by the end of your event.

Event Clean Up

  • The Ranch will be responsible for tearing down the tables and chairs. For an additional fee, Quail Run Ranch will provide clean up such as sweeping and mopping. Clean up should conclude by 11:00 PM.

  • You will be responsible for returning the venue to the state that it was provided to you prior to your event. This includes cleaning, clearing trash from the tables, replacing any Ranch-borrowed items, and removing any decorations.

Insurance

  • You will be required to purchase an event insurance policy. You are welcome to purchase your own or use the company recommended by us: www.wedsafe.com.

NO DOGS ON PREMISES

  • Service dogs only.

Military/First-Responder Discount

  • We are happy to offer a $200 discount to any military/first-responder personnel (police, firefighters, paramedic, etc.). Confirmation via ID/badge will be required.
